We collect information that helps us list and market your property, communicate with you, and provide our services.

Personal Information: Name, phone number, email address, mailing address, and payment details when you engage our services.
Property Information: The address, photos, features, condition, pricing, disclosures, and other details of the home you list with us, including information required for the Multiple Listing Service (MLS) and for legally required listing documents.
Transaction Information: Listing agreements, showing activity, offers, and information related to the sale of your property.
Communication Records: Records of our communications with you and, where applicable, recordings or transcripts of calls handled by our automated AI voice assistant (see Section 4).
Device & Website Data: IP address, browser type, and basic usage analytics collected automatically to improve website performance.
Communication Preferences: Information you provide when you opt in to texts, emails, or other communications.
We do not sell or rent your personal information to third parties.
2. How We Use Your Information
Your information is used to:
List and market your property on the MLS and affiliated real estate platforms; prepare required listing documents and disclosures; schedule, coordinate, and obtain feedback on showings; communicate with you, buyers, and buyers' agents about your listing; process payments; provide pricing analysis and consultation; and improve our website, services, and customer experience.
We may also use aggregated, non-identifiable data for internal analytics and service improvements.
3. How We Share Your Information (Listing & Marketing)
Because our core service is listing and marketing your home, certain property and listing information is shared widely and intentionally as part of providing that service. When you list your property with us, your property information and listing details may be shared with:
The local Multiple Listing Service (MLS) and its participants, including buyers' agents and other brokerages.
Real estate websites and syndication partners, including but not limited to Zillow, Realtor.com, Redfin, Trulia, and 100+ other real estate marketing sites.
Showing and feedback platforms, such as ShowingTime, to schedule showings and collect feedback.
Service providers that support your listing, including photographers, our automated AI voice assistant provider, and marketing tools.
Buyers, buyers' agents, title companies, and other parties as necessary to facilitate the showing, negotiation, and sale of your property.
Please note that once property and listing information is published to the MLS and syndicated to third-party real estate websites, those parties control their own use and retention of that information, and it may remain publicly available even after your listing ends, in accordance with their policies and applicable MLS rules.
We may also share limited information with payment processors, banking institutions, our CRM, and scheduling providers solely to support Solix Listings operations.
4. AI Voice Assistant & Call Recording
To answer inquiries about your listing 24/7, we use an automated AI voice assistant that may answer calls placed to the dedicated listing phone number associated with your property. Calls handled by this assistant, and other calls to or from Solix Listings, may be recorded and/or transcribed for quality, training, lead management, and service purposes. Information gathered during these calls (such as a caller's name, number, and showing request) is stored in our systems and used to coordinate showings and follow up on your behalf. By calling, being called by, or otherwise interacting with our AI voice assistant, you consent to such recording and transcription.
5. Text & Email Communications
If you voluntarily opt in via an unchecked checkbox or by providing your number for this purpose, you consent to receive transactional and service-related texts and emails, including appointment confirmations, listing updates, showing notifications, and reminders. SMS consent is optional and not required to use our services. Message frequency varies, and standard message and data rates may apply. Reply STOP to opt out or HELP for help. We do not share mobile phone numbers, SMS consent, or opt-in data with third parties or affiliates for marketing or promotional purposes. Limited information may be shared with trusted service providers solely to support business operations.
6. Payment and Data Security
We use secure, PCI-compliant payment processors to handle all transactions. Solix Listings does not store your full credit card number on our servers. We take reasonable precautions to protect your information against loss, misuse, and unauthorized access through encryption, password protection, and limited data access.
7. Cookies and Analytics
Our website may use cookies and basic analytics tools (such as Google Analytics) to understand how visitors use our site and to improve performance. Cookies can be disabled in your browser settings if you prefer.
8. Your Rights and Choices
You have the right to access and update your personal information; request deletion of your information (where legally applicable, and subject to MLS rules and our legal and recordkeeping obligations as a real estate brokerage); opt out of marketing emails or texts at any time; and contact us with questions about how your data is used. Please note that certain listing and transaction records must be retained under real estate laws and MLS rules and cannot always be deleted on request.
9. Data Retention
We retain your information only as long as necessary to provide our services, comply with legal, regulatory, and real estate recordkeeping obligations, and resolve any disputes. Listing and transaction records are retained for the periods required by Oklahoma real estate law and applicable MLS rules.
10. Children's Privacy
Our services are not directed toward children under 18. We do not knowingly collect personal information from minors. If we become aware that a child has provided us with personal data, we will delete it promptly.
11. Updates to This Policy
We may update this Privacy Policy periodically to reflect changes in our practices or for operational, legal, or regulatory reasons. Updates will be posted on this page with a revised "Last Updated" date. Continued use of our services means you accept the updated policy.
